Sarafika Tours Limited – Terms & Conditions

1. Agreement

Your agreement is made with Sarafika Tours Limited (“Sarafika Tours”, “we”, “us”, or “our”). By confirming a booking with us, you acknowledge that you have read, understood, and agreed to these Terms & Conditions. These terms apply to all bookings, quotations, and communications.

2. Booking Confirmation

Upon confirmation of your safari, we will provide an official booking confirmation along with a packing list and necessary travel information. To finalize your booking, you are required to complete and return the registration form. We strongly recommend that all clients obtain comprehensive travel insurance prior to travel.

3. Payment Terms

• • A deposit of 25% of the total invoice amount is required within 14 days of the invoice date.
  • The remaining balance must be paid 30 days prior to arrival.
  • For bookings made within 56 days of departure, full payment is required immediately.

Bookings are only confirmed once funds have been received in our account.
All bank transfer charges must be fully covered by the client.

4. Pricing & Surcharges

All quoted prices are based on costs at the time of quotation, including park fees, taxes, fuel, and supplier rates. Due to factors beyond our control, we reserve the right to adjust prices prior to full payment in the event of increases in:

• • Transportation costs (including fuel)
  • Park fees or government-imposed taxes
  • Supplier or accommodation rates

Where applicable, any such increases may be passed on to the client.

5. Domestic Flights & Transport Changes

Domestic flights and transport services within Tanzania are operated by third-party providers. Schedules and services may be subject to changes due to operational factors beyond our control, including but not limited to airline decisions, technical issues, weather conditions, or fuel availability.

Sarafika Tours cannot be held liable for such changes. In the event of delays, schedule adjustments, or cancellations, we will make every reasonable effort to arrange suitable alternatives. Any additional costs incurred as a result may be payable by the client.

6. Changes by the Client

If you wish to make changes after booking, we will do our best to accommodate them, subject to availability. Additional costs may apply depending on the nature of the change.

7. Cancellation Policy

All cancellations must be made in writing and are effective upon receipt.

The following cancellation fees apply:

• • Cancellation 90 days or more before departure: 30% of total trip cost is refundable
  • Cancellation 89–45 days before departure: 20% of deposit refundable
  • Cancellation less than 30 days before departure: no refund

Please note that certain third-party services (such as flights) may be non-refundable.

8. Visa & Passport Requirements

It is the client’s responsibility to ensure all travel documents are valid:

• • Passport must be valid for at least 6 months from date of arrival
  • Visa can be obtained in advance or on arrival in Tanzania

Visa fees are subject to change and are not included in the safari price.

9. Liability

Sarafika Tours takes all reasonable care in organizing your trip. However, we cannot be held liable for:

• •  Loss, theft, or damage to personal belongings
  • Injury, illness, or death during the trip
  • Delays or disruptions caused by third parties

All activities are undertaken at the client’s own risk.

10. Force Majeure

Sarafika Tours shall not be held liable for failure or delay in performing obligations due to events beyond our control, including but not limited to:

• • Natural disasters
  • War or civil unrest
  • Epidemics or pandemics
  • Government actions
  • Fuel shortages or transport disruptions

No refunds will be guaranteed in such cases, although we will attempt to recover costs where possible.

11. Travel Insurance

Comprehensive travel insurance is mandatory for all clients and should include:

• • Medical coverage
  • Emergency evacuation
  • Trip cancellation and interruption

12. Acceptance of Terms

Payment of the deposit or full amount constitutes acceptance of these Terms & Conditions.
